How does team notification work when a survey is submitted?
When a survey is submitted in SiteSurvey, the platform automatically sends notifications to the team members assigned to the next workflow step. Notifications are delivered by email, in-app alert, and mobile push notification, and each team member only receives alerts relevant to their role.
Notification rules are configured within the workflow. You can specify who is notified at each stage, whether that is a named individual, everyone in a particular role, or a group. You can also set up secondary notifications for managers who need visibility without being active participants in the approval process.
For surveys that contain high-priority findings or compliance flags, the workflow can be configured to send an immediate escalation alert to a designated contact, separate from the standard notification sequence. This ensures urgent issues reach the right person without delay, even if the regular review cycle is not yet due.
All notifications include a summary of the survey and a direct link to the relevant record. Recipients can take action, such as approving a step or commenting on a finding, directly from the notification without navigating through the full platform. Notification preferences can be adjusted at the user level for non-critical alerts.
