How do I automate approval and sign-off workflows for site surveys?
To automate approval and sign-off workflows in SiteSurvey, you build a workflow in the admin area that defines who must approve a survey, in what order, and under what conditions. Once published, every survey of that type follows the same process automatically from the moment it is submitted.
Each approval step is assigned to a named person or a role, such as "Project Manager" or "Health and Safety Lead". The assignee receives a notification when the survey reaches their step and is shown a summary of the relevant findings. They can approve, reject with comments, or escalate directly from the notification, without needing to log in to the main platform.
Conditional routing allows the workflow to branch based on survey content. For example, a survey that flags a high-risk item can automatically require a senior sign-off before proceeding, while low-risk surveys follow a shorter path. This keeps the process proportionate to what was found on site.
A complete sign-off log is attached to every survey record, showing the name, timestamp, and any comments left at each approval stage. This is particularly valuable for regulated industries where demonstrating a documented approval process is a compliance requirement.
