To set up project-based workflows in SiteSurvey, go to the Workflows section in the admin area and create a new workflow. You then define each stage, assign it to a person or role, set any conditions that affect routing, and specify deadlines. The workflow is then linked to the relevant survey form or project.

Workflows can be scoped to a specific project so that the process only applies to surveys within that project. This is useful when different clients or contracts require different review and sign-off procedures. You can copy an existing workflow and modify it for a new project rather than starting from scratch each time.

The visual builder shows the full workflow as a flow diagram as you build it, making it straightforward to spot gaps or circular dependencies before the workflow is published. Each step can be tested in preview mode using sample survey data before you roll it out to the team.

Once a workflow is active, changes to it only apply to surveys submitted after the change is saved. Surveys already in progress continue to follow the workflow version that was active when they were submitted, preserving consistency for work already underway.
